How often should hard drives in a company be replaced as a precautionary measure?

There is no fixed replacement period for hard drives. It makes more sense to use measurable criteria: rising SMART error counts, the expiry of the manufacturer’s warranty, high operating hours combined with a heavy workload – and the risk of a rebuild in RAID arrays with drives purchased at the same time.

Technical background

The SMART attributes ‘Reallocated Sectors’ (5), ‘Current Pending Sectors’ (197) and ‘Offline Uncorrectable’ (198) are particularly indicative; rising values suggest surface problems. Disks from the same batch age in a similar way; if one fails, the load on the remaining disks increases during the rebuild, which may then cause them to fail as well.

What you should – and shouldn’t – do now

  • Record SMART values automatically on a regular basis and monitor trends, rather than just the „OK“ status.
  • Replace drives with rising ‘Pending’ or ‘Reallocated’ values as soon as possible.
  • Before carrying out a planned swap in RAID systems, create a recent, verified backup.
  • When purchasing new stock, mix plates from different batches.

Here’s how we do it

  • If necessary: review of existing SMART history and assessment of the risk of default.
  • In the case of arrays that have already failed: back up all disks before performing a rebuild.

Borders

  • SMART does not detect all types of failure; electronic and firmware faults often occur without warning.
  • Operating hours alone are not very meaningful if the load and temperature are unknown.

How we carry out data recovery

Every data storage device is first diagnosed in our own laboratory in Cologne; the diagnosis is free of charge. You will then receive a written quote and can decide whether to accept it. If you decline, you can collect the data storage device from the laboratory by appointment – there are no postage costs involved – or we will post it back to you; in which case postage and packaging costs may apply. Data is recovered from copies, not from the original – using professional data recovery hardware such as the PC-3000. If a drive needs to be opened, this is carried out on a HEPA H14-filtered clean bench. We do not offer a guarantee of success prior to diagnosis, as this is simply not possible in a professional context. Your storage device and your data will remain confidential and will not be passed on to third parties.

1Enquiries and submission by post or in person at the laboratory by prior appointment
2Free diagnosis of the cause of the damage
3Written quotation – we will only proceed once you have approved it; if you decline, you may collect the item from the laboratory or we will return it to you (postage and packaging costs may apply)
4Recovery, data verification and confidential handover

Frequently Asked Questions

Is it enough for the NAS interface to show „Healthy“?+
Not reliable. Many systems only display a warning once a threshold has been exceeded; trends are more meaningful.
Is it worth replacing it after five years?+
As a rough guide, the answer is often ‘yes’ for continuous operation; however, the decisive factors are the usage profile, the SMART history and the criticality of the data.
What do you need to bear in mind when replacing a drive in a RAID 5 array?+
Always replace just one drive at a time, wait for the rebuild to complete, and back up your data beforehand. A second drive failure during the rebuild is a common cause of data loss.
